 STUDENT RECORDS

Records are classified into two sub-categories: Permanent and temporary. Permanent Records consist primarily of information retained by the District for many years and includes: student/parent names and addresses, birth date and place, gender, academic grade level, marks achieved on a semester basis per grade, attendance records. A health record is kept on file in the Health Office and school district personnel monitor access. Please consult the administration if you care to review any aspect of these records. Permanent records will be retained in the District for sixty (60) years.

The second classification is the temporary record. This information is generally located in a child's cumulative folder, which is located in the Principal's Office. Such records consist of family background information, intelligence and aptitude of achievement test scores, standardized test results, organization and activity information including honors received, and non-educational agency reports.
These records shall not be released unless specifically requested by the parent/guardian or eligible student. These records are forwarded when a child graduates or transfers.

Parents/guardians are welcome to inspect, challenge and copy any information contained in these records. Separate files are kept for special education referrals and disciplinary situations, which also form a portion of the temporary record file. A procedure to retain or remove, change or clarify record information can be discussed with administrators should any parent/guardian desire to do so after requesting to see student records. A request for an informal conference with the administration to challenge the contents of a student record as noted above, shall be made in writing to the administrator, and shall state in specific terms what entries in their student's records are being challenged or questioned. An informal conference with the parents/guardians shall be held within fifteen (15) school days of the receipt of the written request for the conference.

The purpose of this in-depth record information is to provide better channels of communication and understanding relative to student records.
